This register is for the purpose of managing Pilvi Customers’ contact and service details. The register is based on information given by the customer and public sources.

We respect our customers’ privacy and take security very seriously. We will do our utmost to protect our customers’ privacy and their data.
We have taken multiple measures to guarantee that our service is secure to use.

Personal information collected

As data controller Pilvi collects and manages customer data of the following groups: 

  • Pilvi’s Customers
  • the customers and potential customers of our customers

The personal data that we store is generally received from the customer directly or by using our services.

The personal data we manage can be divided as follows: 

  • Basic contact information, such as contact person name, email address, company name and VAT Id or Company register number
  • Additional customer information collected from Pilvi customers. This information is collected to be able to provide the service. This information is given by the customer when ordering, activating, paying for and using Pilvi’s services. This information can include:
    • Payment details and payment address related to it (if acceptable)
    • Other possible information which has been input by the user that is necessary to carry out the delivery of the service

Additionally Pilvi stores the following information about the use of it’s services:

  • Session identifier (session id)
  • User IP and DNS-address
  • Source of visit
  • Time of visit

This information is collected, both for statistical and for administrative purposes. The service provider can publish statistical information about service usage. Individual users, devices IP addresses or DNS addresses will not be published. The information listed above will identify the user’s device, but not the user itself. 

We do not disclose or share personal information collected by our service or site to third parties in the normal course of business. We store the abovementioned customer data for the purpose of being able to deliver the service to our customers as well as for documentation, quality control, and development purposes. We store this data for as long as it is essential to the delivery of the service.

By using this service, the user approves the collection of this information.

Disclosure and Sharing of Data

We use subcontractors to be able to provide the best possible user experience for our customers. Our default policy for disclosure and sharing our Customer data is ‘as little as possible’. In addition we prefer subcontractors that process and stores their data inside EU/EEA. For our non EU/EEA subcontractors, we rely on the The EU-U.S. and Swiss-U.S. Privacy Shield Frameworks.

The confidentiality of information is important to us. Customer data may be disclosed outside our organization only when required or permitted by law and information will not be disclosed to third parties otherwise than previously specified. However, information may be disclosed, for example, to authorities, or based on the customer’s consent or a customer agreement, to our partners connected to the products or services chosen by the customer.

Security measure in the service

Pilvi utilizes multiple controls to prevent possible attacks starting from firewalls and intrusion prevention systems. SSL is used to encrypt all traffic between the client and the service in order to protect the users against man-in-the-middle attacks. During the development multiple lines of defenses have been implemented to protect customer data. 

In addition, we provide optional multi-factor-authentication for all of our users, so that they’re able to secure the access to their account with an additional layer.

Availability

We’ve designed our platform architecture to protect our service from possible outages as well as possible. All the data is also backed up regularly to an offsite location. In case of longer and larger service outage, we are able to migrate our service to other service provider with minimal downtime.

Right for denial

User has the right to prohibit the registrar to process personal data for purposes of direct marketing, telemarketing, market research and public opinion surveys and for personal research. User may inform us about denial, either in writing or by phone.

Review & Correction of information

Pilvi provides its customers a 24/7 available Console for managing their accounts. In addition Pilvi will, without undue delay, on his or her own initiative, or at request, erase or supplement incomplete or out of date personal data. If registrar refuses the correction or checking of the data, the user will have a written notice of the refusal. The user has the right to appeal to the Finnish Privacy Commissioner. The Privacy Commissioner may give an order to supplement incomplete data. To access and to correct the registry data please contact the registrar.

What rights you have over your data
